Sharing Docs from SharePoint

Question:  Why can’t my team access the folder or document I shared from my leadership site in SharePoint?

Answer:  By definition, all documents stored on the SharePoint sites are private to the community and are access protected. When you log in as an authorized user, the url you see is specific to your username.  If you try to share the url with your team, they will see a login message and not be able to access the files.

To share documents from your weekend leadership SharePoint site, you must use the “Copy Link” function from SharePoint.

Steps:

  1. Click on the 3 dots next to the file or folder in SharePoint
  2. Tap “Copy Link”
  3. You should see a message indicating that the link is now in your computer memory, and “anyone with the link can view.”  Return to Groups and paste the link into your Resources and/or email message.

Tip!

Test your link before sharing by opening in a private/incognito browser window. The private window will show you the view that your users will see.

To access the private/incognito window, look for the menu in the top right corner of your browser. The private window is usually one of the top menu choices.
